How to turn a screenshot into a calendar event on iPhone

A meeting gets confirmed in a text. An invite lands in your inbox. A plan comes together in a group chat. The date, time, place and phone number are all right there — just not on your calendar. Here is how to get a screenshot of that message onto your iPhone calendar in seconds, without retyping a single thing.

The short answer

• Screenshot the message — the text, WhatsApp chat, email, or booking confirmation.
• Open it in a capture app such as Aide Calendar, or tap Share → Aide Calendar from Photos or Messages.
• Review and save. The app reads the image, fills in the event, and one tap puts it on your calendar with alerts set.

iPhone's own Calendar app cannot read a screenshot — you would have to type the event in by hand. A capture app does the reading for you, which is the difference between a few seconds and a couple of fiddly minutes.

Step by step

1. Take the screenshot. Press the side button and volume-up together. If the details run across two or three screens, take a screenshot of each.
2. Open Aide Calendar and tap the capture button (the ✦). Add the screenshot — or several at once — from your photo library.
3. Wait a few seconds. The app reads the image and pulls out the event: title, date, time, venue, attendees, phone number, notes and alerts. A pasted email or a busy chat can produce several events and tasks at once.
4. Review what it found. Everything is laid out for you to check. Fix anything that is off, and drop anything you do not want.
5. Tap Save. It lands on your calendar with alerts already set, and syncs across your iPhone and iPad.

You can skip the screenshot step entirely and Share a message straight from another app: in Messages, Mail or WhatsApp, tap Share and choose Aide Calendar. Text, images and voice memos are all accepted.

What it reads from a screenshot

• Who — the people named in the message become attendees, with their phone or email if it is there.
• Where — an address, a venue, or a video-call link (Zoom, Teams, Meet).
• When — the date and time, including relative dates like "next Tuesday at 4", resolved in your own time zone.
• Recurring plans — "every Tuesday at 4" becomes one weekly event, not fifty-two separate ones.
• Phone numbers, links and addresses you can act on — tap to call, message, open in maps, or follow a link.

Tips for a clean result

Capture the whole conversation, not just the last line

If the time was agreed a few messages up, include those screenshots too. The app reads them together, so the more context it has, the more complete the event.

Snap flyers and posters, not just chats

A photo of a printed notice, a school term schedule, or an event flyer works the same way. QR codes and contact cards in the image are read automatically — registration links and phone numbers come across without you copying anything.

Let one capture make several events

A pasted email that contains both a meeting and a follow-up, or a schedule with a dozen dates, comes back as separate events and tasks — the app works out which is which, so you review them all at once and save in a single pass.

Common problems

The time came out wrong

Usually the message itself was ambiguous ("Thursday" with no date, or a time with no morning/evening). Tap the field to correct it in the review screen before you save — the event is never locked in until you tap Save.

Part of the message was cut off

If the details spanned more than one screen and a screenshot missed the edge, add the missing screenshot and capture again. Several images are always read as one.

I want it on my work calendar too

Your existing Apple Calendar and Apple Reminders appear alongside what Aide captures, in one unified view, so you see everything together. Aide keeps its own events; it does not write back into Apple Calendar.
