How to turn an email into a calendar event

A confirmation lands in your inbox — a booking, a flight, an appointment, an invite — and now you have to read through it, find the date, and type it into your calendar. Here is how to skip all of that: share the email and let Aide Calendar pull the appointment straight out of it on your iPhone.
The short answer
- Open the email in Mail and tap the share button, then choose Aide Calendar.
- Aide reads the whole message and pulls out the events and tasks — date, time, place, people, alerts.
- Review and save. One tap puts it on your calendar.
Emails are long — a real appointment is usually buried in greetings, a signature, a quoted reply and a footer. Aide finds the part that matters and turns it into a finished calendar entry, instead of leaving you to scroll and retype.
Step by step
- In Mail, open the email you want to save.
- Tap the share button (the arrow, or the reply icon → Share) and choose Aide Calendar from the share sheet.
- In a few seconds Aide shows what it found — the appointment, sorted into events and tasks.
- Review — check the date and time, fix anything it read wrong, drop what you do not want.
- Tap Save. It is on your calendar with alerts set, synced across your iPhone and iPad.

What it understands
- The appointment in a long email — it ignores the signature, footer and quoted reply and pulls the real date, time and place.
- Confirmations and itineraries — flights, hotel and restaurant bookings, appointment reminders, viewing invites.
- Attendees and phone numbers — names become attendees; a number in the body or signature is saved so you can tap to call.
- Online meetings — a Zoom, Teams or Meet link in the email is kept as the location.
- Events and tasks together — "the meeting is on Tuesday" becomes an event; "reply by Friday" becomes a task.
Tips
Forwarded confirmations are the sweet spot
Booking and confirmation emails are exactly where retyping hurts most — they are long and full of reference numbers. Share one to Aide and the date, time and place come out clean, ready to save.
Long threads — share just the right message
On a back-and-forth thread, open the single message that has the agreed date and share that one, so Aide reads the final plan and not an earlier suggestion.
Forward it to yourself first, if that is easier
If an email is stuck in another app, forward it to your own inbox, open it in Mail, and share it across — same result.
Common problems
It grabbed the wrong date
A date in a signature or an old quoted reply can occasionally win. Tap the date on the review screen and correct it before saving — nothing reaches your calendar until you tap Save.
Nothing came back
If the email has no actual appointment or deadline in it — just a message — there is nothing to schedule, so Aide returns nothing. Emails with a real date and time are what it is built for.
