How to turn meeting notes into tasks

The action items from a meeting die in a notebook. Aide turns your notes into a task list — with due dates — before you're back at your desk.

You leave a meeting with a scrawl of decisions and to-dos — "send the deck by Thursday, follow up with legal, book the QBR." Typing all that into tasks is the step that never happens, so half of it slips. Snap a photo of the notes, paste them, or say them, and Aide Calendar pulls out the tasks and any follow-up meetings for you.

The short answer

  • Capture the notes — a photo, pasted text, or a quick voice debrief.
  • Aide splits them into tasks (with due dates) and any events.
  • Review and save. Everything's on your calendar with reminders, synced.

Step by step

  1. Right after the meeting, snap a photo of your notes — or the whiteboard — or record a 30-second voice debrief. You can also paste typed notes.
  2. Open Aide Calendar, tap the capture button (✦), and add it — up to nine images at once.
  3. Aide reads it and pulls out each action item as a task with a due date, plus any follow-up meeting as an event.
  4. Review — set the timing and alerts, assign what's yours, drop the rest.
  5. Tap Save. It's on your calendar and reminders, synced across your iPhone and iPad.

What it pulls out

  • Action items → tasks — "send the deck", "follow up with legal", "chase the vendor."
  • Due dates — "by Thursday", "end of week", resolved in your own time zone.
  • Follow-up meetings → events — "QBR next month" becomes a scheduled entry.
  • People — names in the notes are kept as attendees or owners.
  • Any source — handwriting, a whiteboard photo, a printed agenda, or pasted text.

Tips

Photograph the whiteboard before you leave

The board full of arrows and dates is a capture waiting to happen. Snap it on the way out and let Aide turn it into the tasks while it's still fresh.

A voice debrief in the car works

No time to write? Say it out loud — "three things: send the proposal Friday, loop in finance, book the room for the 20th" — and Aide sorts it into tasks and events.

One capture for the whole meeting

You don't need a task per line. Capture the whole page once; Aide separates the to-dos from the follow-up meetings and you review them together.

Common problems

A to-do came through with no date

If the notes never named a day, there's nothing to schedule against. Add a due date on the review screen and the reminder is set.

It misread messy handwriting

Rushed handwriting can trip it up. Tap the field on the review screen to fix the wording — nothing is saved until you tap Save.
